Under the general supervision of the Director and Program Administrators, the ASC II will be responsible for providing a full range of moderate to complex clerical and general administrative support assistance for the successful course facilitation of programs assigned. This will include a full range of clerical, secretarial and general office support functions, and technical support at varying levels of complexity.
Daily work is performed under specific instructions and guidelines from Program Administrators. Routine priorities and procedures would be regularly set. However, once instructed, this work is often performed independently under general direction. In addition, the Director and Program Administrators will monitor any multiple work priorities and general workflow against scheduled deadlines to ensure completion of assignments. Large projects are coordinated with general direction by the Director and Program Administrators, including detailed plans, project implementation and work delegation. The ASC II will be responsible for leading program projects and training of assigned staff. Regular set meetings and consultations with Program Administrators and the Director are expected especially for new assignments.
Work assignments typically require a comprehensive working knowledge of applicable university infrastructure, policies and procedures, ability to apply independent judgment, discretion and initiative to address routine problems. It is expected that an ASC II will demonstrate mastery in writing and presentation skills to effectively communicate standard reports and information and develop creative solutions to a variety of problems addressed. The ASC II will perform reception duties, including filing of documents, answering telephones, typing forms, letters and memos, and performing other clerical duties as assigned. Additionally, the ASC II will interact on occasion with personnel at the highest levels of the university and the community, requiring skill in managing sensitive interpersonal situations.
The equivalent to five years of experience in general office clerical work is required along with a thorough knowledge of office methods, procedures and practices, and a thorough knowledge of correct English, grammar, spelling and punctuation. The ability to prepare and present reports is required. A comprehensive knowledge of applicable university infrastructure, policies and procedures is required. Fluency in using standard office software such as MS Office package is required. The ability to learn, interpret independently, and apply a variety of complex policies and procedures is required along with the ability to identify deviations from applicable policies. The ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions is required. The ability to perform standard arithmetic functions of a transactional nature is required. The ability to work professionally, collaboratively, and collegially with a diverse group of people, clients and co-workers, is required. Active problem solving skills are required along with effective and sensitive interpersonal skills. The ability to recognize and advocate for solutions that yield programmatic progress and improvement is required.
A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.
