California State University San Bernardino Administrative Support Coordinator I / Educational Opportunity Program (EOP) in San Bernardino, California
*Status: * Full-time, "non-exempt" position.
*Work Schedule: *Monday through Friday, 8:00 a.m.–4:30 p.m., with some evening and weekend work. The work schedule for this position during the summer months is Monday through Thursday from 7:00 a.m. - 5:00 p.m.

Under the general supervision of the EOP Director, the incumbent will serve as an EOP Administrative Support Coordinator and perform a variety of general office functions. The primary duties of the incumbent will be to process EOP student applications, enter data in the department database, create ad hoc reports for department and maintain EOP student records for annual admissions cycle. The incumbent will be responsible for maintaining confidentiality of student records. The incumbent creates Excel spreadsheets with specific formulas for reporting purposes. The incumbent assesses and provides input to the development of new queries related to EOP admissions. The incumbent provides input on annual EOP Admissions Report provided to the director and consults with other on campus departments to interpret policy and procedures that may impact students' admissions eligibility.
The incumbent will also conduct reviews of applicant files to determine status of EOP admission, and determines each applicant's ELM/EPT status and identifies exemptions. The incumbent responds to student and staff email inquiries regarding EOP application process. The incumbent is responsible for assisting in the coordination of EOP new student orientations scheduling conference rooms and preparing materials. In addition, the incumbent will receive, screen, and distribute mail, assemble and prepare materials for distribution; perform routine typing; answer telephones, convert inactive files to imager as needed. The incumbent will schedule meetings, student appointments, and advisement sessions; will route calls and visitors to the appropriate staff members; and provide information to students, staff members, and the public. The incumbent will set priorities regularly and manage multiple work priorities to meet deadlines. Incumbent may perform other administrative duties as assigned.
Applicant must possess the equivalent to three years of experience in general office work Knowledge:
Applicants must have a thorough knowledge of office methods, procedures, and practices
- Applicant must have thorough knowledge of English, grammar, spelling and punctuation.
Applicant must be fluent in MS Word and programs such as Excel, PowerPoint and Publisher. Abilities/Skills:
Applicant must have the ability to learn, interpret, and apply a variety of complex policies and procedures.
- Applicant must be able to perform standard arithmetic functions of a transactional nature, including tracking and comparing lists.
- Applicant must have active problem solving skills, along with effective interpersonal skills.
- Applicant must have the ability to plan and organize.
- Applicant must also have the ability to handle a multi-line telephone system.
Applicant must possess the ability to establish and maintain cooperative working relationships with diverse groups and demonstrate competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions to students, staff, the public and other campus employees. Preferred:
Experience working with programs that serve historically low-income, first generation college students and knowledge of the Educational Opportunity Program admissions.
- The ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
- A general knowledge of applicable university infrastructure, policies and procedures and experience and knowledge in working with databases, FileMaker Pro, PeopleSoft, Access and FoxPro systems.
Early morning, evening or weekend hours may be required, as needed to travel, participate in program events/activities. Supplemental Information
