UPMC is currently hiring a full time Physician Employment Coordinator to support our Corporate Human Resources team. This will be a Monday through Friday daylight role that is located in downtown Pittsburgh, Pa.
Under the direction of the Team Lead, Physician Employment, the Physician Employment Coordinator (Physicians) or Director, GME (Residents) administers the GME/Physician hr/payroll, maintains the PeopleSoft HRM database and/or the Graduate Medical Education Resident online Coordination System (GMEROCS). This roleis also expected to provide highly skilled, technical, analytical, and administrative support as it pertains to resident/physician employment and payroll.Responsibilities:
Assist the Lead PEC in the Physician Services Division Annual Payroll Workshop in conjunction with the University of Pittsburgh School of Medicine to communicate process and procedural changes as well as reinforce current processes and procedures. Coordinate employment process, including pre-employment screening process for potential new hires, working with Corporate and Captive Insurance to procure, update, and delete Malpractice coverage as needed, I-9 and any federal, state and local compliance documentation requirements. Coordinate receipt of payroll paperwork and troubleshoot payroll issues with clinical departmental payroll contacts including department administrators and program coordinators. Data enter all PeopleSoft information including the initial entry of applicants, hire/transfer, new employees, maintenance of compensation, employment status, common paymaster placement (where applicable), position management and terminations. For specified population, to include but not limited to staff, physicians and residents within Physician Services Division, acts as the lead point person between the Business Unit, Payroll, Benefits, Human Resources, HRIS, Finance, individual departments with the Business Unit and outside UPMC Business Units. Coordinate and manage system-wide implementations that affect PSD physicians/residents/staff. Maintain, organize and assure accuracy of physician employment files. Log all payroll changes to ensure completeness and accuracy, as well as provide follow up with regards to outstanding issues. Work collaboratively with the University of Pittsburgh Payroll office, University of Pittsburgh Deans Office , UPMC Payroll Office and the PSD Business units to ensure all items regarding a physician's eligibility for employment, compensation changes, etc., are completed and timely. Manage Physician/Resident Applicant Tracking process through PeopleSoft in accordance with OFCCP guidelines as it pertains to PSD Offers of employment. Monitor the pre-employment screening for potential newly hired PSD physicians to ensure completion for hire, as well as work collaboratively with UPMC Employee Health for compliance for transfers. Monitor the Physician Pathway Packet information in to physicians HR file, and serve as a contact for questions regarding the PSD physician hires. Provide Immigration Counsel with payroll information as it relates VISA issues. Work closely with Immigration Counsel to ensure compliance with all USCIS requirements as they pertain to UPMC employment and Form I-9. Provide data entry, audit, and reporting support in PeopleSoft data for Human Resources and Administrative Services and Physician Relations prior to the given payroll deadlines. Provide phone support for the department and perform other duties as required. Receive, review, and process all paperwork related to physician/resident/staff payroll including new appointments, terminations, salary changes, status changes, leaves of absence, check requests, and all other related documents as they relates to payroll. Ensure accuracy and completeness of payroll paperwork and performs any necessary calculations needed to process payroll (i.e. partial month payment amounts). Serve as a contact for departments for questions related to compensations changes processed through payroll. Perform mathematical functions relative to processing the payroll and perform subsequent analysis for quality assurance purposes. Serve as the liaison for departments to submit manual service requests. Review for accuracy and completeness, ensure appropriate authorization and documentation are in place before processing to Corporate Payroll. Review request for compliance with any employment agreement and or contract. Complete Service Request report tracking all manual service requests by month and provide information to PSD Finance in a timely manner. Track PSD physician/faculty offers of employment via recruitment module available in PeopleSoft HRMS. Ensure compile to the UPMC Systemwide use of this module and the processes for UPMC job openings and OCRs (ongoing continuous reqs). Ensure accuracy of req files. Use Microsoft Excel at a high skill level to generate reports and spreadsheets that may contain items such as V-Lookup formulas and Pivot Tables. Utilize PeopleSoft HRMS to review and analyze paycheck data, benefit elections, savings plan contributions elections, W-4 withholdings and licensure information when presented with issues involving payroll and benefits. When applicable, work collaboratively with Contract Administrators and PSD Legal Counsel to ensure there is a fully executed Employment Agreement or Exhibits on file before processing new hires or transfers and implementing any payroll changes. Communicate collaboratively with CA any start date, termination or status changes, to ensure proper legal documents are generated and executed in accordance with the change.
Bachelors degree in Human Resources, Business, computer Science or related field required OR high school diploma or equivalent with three years equivalent work experience required Two years of experience in human resources preferred Experience with PeopleSoft and Microsoft Office is required Experience with Graduate Medical Resident Only Coordination Systems (GMEROCS) is preferredLicensure, Certifications, and Clearances:UPMC is an equal opportunity employer.
