Kforce Executive Assistant in Pawtucket, Rhode Island

Kforce has a client seeking an Executive Assistant in Pawtucket, RI. Essential Functions:

  • Manages the CEO's schedule as well as schedules for assigned executive staff. Makes travel arrangements as necessary and prepares expense reports

  • Handles confidential and sensitive information in connection with the CEO's responsibilities

  • Fields all incoming calls to the CEO's office

  • Maintains confidential executive and Board files and correspondence and ensures that the Association files are maintained in an accurate and timely manner. This includes minutes for the Board of Directors, and standing committees as well as various project and Branch files

  • Attends all Board meetings and committee meetings, takes minutes and produces final copy. Drafts correspondence for CEO. Maintains organizational chart(s)

  • Coordinates arrangements for meetings of various committees, task forces, public officials and groups and prepares materials and manage logistics for meeting of the Board of Directors and Standing Committees. This includes preparation and delivery of all notifications and written materials as well as coordination of all logistics for meeting space, meals, supplies and equipment. Attend meetings of the Board of Directors and work directly with the Secretary and President/CEO to prepare all minutes

  • Maintains computer databases for various reports, committees and mailings

  • Coordinates annual schedules for Board of Directors and management meetings

  • Coordinates staff business cards, stationery orders and office supplies for business/administrative offices

  • Works directly with the Director of Branch Operations, Finance Director and Director of Human Resources

  • Provides significant administrative support for the Annual Campaign and fundraising events

  • Serves as the Network Administrator in coordination with the IT Consultants

  • Additional duties include managing business machines

  • Associate's degree in Business or equivalent preferred

  • Five or more years of related experience working as assistant to high level executives or administrators, preferably in a nonprofit setting

  • Proficient in all standard business software

  • Knowledgeable about office processes and procedures

  • Ability to work with integrity, discretion and a professional approach

  • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.)

  • Ability to speak any language in addition to English may be helpful

  • Excellent written and verbal communication skills
