Summary: The Administrative Assistant, assigned to the Administrative Office, functions as a primary contact for the Monroe AST clinic assisting with purchase requisitioning, ordering and the vouchering process. The Administrative Assistant assists the Support Services Supervisor and performs unique tasks as outlined.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Initiate and process purchase requisitioning and ordering for Administrative offices.
Support purchasing procedures and rectify issues associated with the purchasing.
Lead person on Special Purchasing Projects.
Post insurance check payments in Tier.
Verification of eligibility coverage for NYS Medicaid clients and balance-bill Medicaid for secondary coverage through EPACES.
Provide secretarial support to administrative staff.
Assist with Special Activities as assigned, i.e. golf outing and annual dinner.
Participate in staff meetings as required.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours are generally Monday – Friday, 9am-5pm. Additional evening and weekend hours will be required to meet clinic schedules, special events and deadlines.

Remain in a stationary position at a work station and use a computer at least 65% of the time.
Operate computer, telephone and other office productivity equipment, such as calculator, copier, and printer.
When at front-desk reception: contact with public and clients who may be aggravated, upset or in need of physical guidance; answer telephones.
Travel occasionally using reliable transportation, traversing streets, ascending/descending stairs, and exposed to outside weather conditions.
Education and/or experience required:
- H.S. Diploma or Equivalency.
Skills, Licenses, and/or competencies required:
Proficient with Microsoft Office including Word and Excel. Must successively pass Skills Test.
Experience with computer-based client management systems.
Strong methodical, written and oral communication skills, interpersonal skills and judgment, and a demonstrated capability for working cooperatively in a team environment.
