Job Summary

This position will perform general administrative duties for the production department and office. Individual will perform routine clerical functions and duties related to production and shipping.

Essential Duties and Responsibilities

  • Performs a variety of clerical work involving standardized forms, reports, data, and procedures using established instruction/routines

  • Prepares simple forms or reports; sorts and files documentation

  • Maintains historical records by filing documents

  • Routes incoming mail, prepares outgoing mail and correspondence or other printed materials

  • Organizes and maintains file systems, and files correspondence and other records

  • Greets visitors and directs to appropriate area or person

  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities

  • Orders and maintains supplies, and arranges for equipment maintenance

  • Provides support for assigned department (s)

  • Update and maintain company phone list

  • Answer phone calls and route calls as needed

  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed

  • Inventory control which includes production entry, shipping and receiving raw material

  • Assist the facility in day to day office functions to insure efficiency

Requirements / Education / Experience

  • High school diploma, Associate’s degree preferred, or equivalent and one to two years office experience or equivalent combination of education and experience

  • Knowledge of basic office equipment (phone, fax, copier, 10-key)

  • Strong Microsoft Office skills

  • Excellent verbal and written communication skills

  • Ability to communicate with employees, peers, supervisors, vendors and customer in an effective manner

  • Must be detail oriented, organized, and have problem-solving and reasoning skills

  • Ability to perform basic math calculations such as add, subtract, multiply, divide and compute rate and ratio

  • Ability to apply common sense understanding to carry out written and oral instructions

  • Ability to solve practical problems and deal with a variety of concrete variables with little or no structure

  • Internal and external customer service oriented

  • Ability to work independently

Physical Environment

  • Ability to perform sedentary work, occasional walking, standing, squatting, and bending required

  • Ability to lift up to 20 lbs. and carry small objects; and occasionally lift up to 35 lbs

  • Prolonged sitting, repetitive use of fingers and hands for typing

  • Available to work overtime as necessary

  • May be required to work under stressful conditions
