The purpose of this position is to provide assistance to the facility management team to ensure the successful competition of client facility needs.


  • Responds to client inquires and concerns.

  • Ensures timely and quality service delivery to clients.

  • Follows up with clients to ensure customer satisfaction.

  • Monitor, assign, and complete web-based style work orders to CBRE team which includes cleaning, engineering and outside suppliers.

  • Communicates work orders to technicians and assists management in resolving problems.

  • Work with various site landlords to reserve and coordinate building services, adhere to landlord rules and regulations including Certificate of Insurance

  • Daily interaction with day porters under CBRE contract to ensure work orders are addressed and resolved in a timely manner.

  • Assists with scheduling of after-hours and special cleaning requests as well as event support

  • Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.

  • Maintains files on work orders, proposals, and department files.

  • Assists with the processing of requisitions and Purchase Orders. Monitoring and clean-up of Open PO reports utilizing CBRE Financial Systems, i.e., JD Edwards

  • Follow-up with suppliers on quotes and timeliness of invoices to meet KPI satisfaction

  • Responsible for scheduling and implementation of meetings/events in a multi-purpose room setting, utilizing in-house and outside vendors when needed. Includes, room setup coordination, catering deliveries, and working closely with the client.

  • Demonstrate an ability to understand all facets of a move process, which includes relocation of employees and furniture changes.

  • Performs furniture audits and ensure floor plans from people and furniture are up to date and accurate.

  • Reports monthly move activity to National Relocation Team

  • Ensures National Weekly Activity Report is delivered on time.

  • Assists with the site inspections on the facility properties, including space management audits.

  • Work closely with Senior Facility Manager on monthly client reports regarding regional trend reporting, vacancy and work space utilization.

  • Uses pc for work order system, email, ESS and training.

  • Develop and maintain positive relationships with the client, and corporate personnel to achieve personal, team and cooperate goals

  • Other duties may be assigned.

High school diploma or general education degree (GED) required. Minimum of two years of related experience and/or training.




Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.


Intermediate skills with MS Office including Excel, Outlook, PowerPoint and Publisher plus. Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
