We are currently seeking an experienced Service Coordinator/Accounting Assistant to join our Duluth team!

Position Description:

This position requires an organized individual with strong interpersonal skills and excellent attention to detail to manage service personnel scheduling/needs and assist with various office accounting functions. The ideal candidate must be self-motivated and able to multi-taskin a fast-paced environment.

Essential Job Functions:

  • Communicate accurately and effectively in written and oral form with customers, account/project managers, and service personnel to coordinate all scheduling and dispatching. Includes demonstrating ability to productively handle sudden scheduling changes/adjustments and problem solve as required.

  • Initiate and assign all service work orders. Full cycle service work order processing to include preparation of tickets for General Manager approval through billing/mailing.

  • Maintain all preventive maintenance contracts including new contract set-up, monthly contract invoicing, and assisting account managers regarding same, as necessary.

  • Purchase order processing with entry required as necessary.

  • Full cycle accounts payable processing with assistance from office accountant.

  • Code weekly service time sheets for submission to corporate office for processing and bi-weekly office staff time sheets for approval by General Manager.

  • Answer incoming telephone calls with assistance from other office staff.


  • High School Diploma or equivalent.

  • Previous customer service experience.

  • Must be proficient with Microsoft Office Suite.

  • Accounting background preferred.
