Currently we have an opening in our Financial Management department for a Sr. Administrative Assistant. This position performs a variety of duties in support of Financial Management Group official(s). Daily tasks include basic analysis, recognizing and assessing importance of correspondence and documents requiring official attention, including the ability to read and summarize reports orally and in writing. Responsible for managing officials’ calendars, coordinating meetings, and maintaining electronic and hard-copy filing systems. Additional duties include providing, managing contracts, managing and updating the department website, maintenance of the department SharePoint site, ordering department supplies, general office management duties, weekly completing department attendance, and answering officials’ phones.
PRIMARY RESPONSIBILITIES: • Provides Vice Presidents and office staff administrative support by ordering and managing supplies, making travel arrangements, preparing expense reports, processes registrations for conferences for staff, and managing officials' calendars. Schedules meetings/briefings with all levels of officials both inside and outside of the Bank • Provides support for Vice Presidents by opening, sorting, reading and prioritizing incoming mail (both email and postal) that may be confidential. Receives, screens and routes general public telephone calls and calls within the System when necessary. Assists customers by solving problems or locates the appropriate person for assistance, including following up on information requests to ensure a timely response • Assists Vice President and/or department by composing, proofreading, editing letters, and transmitting documents electronically or priority mail. Performs basic analysis which includes conducting research, reviewing data and writing reports. Completes and coordinates ad-hoc projects. Utilizes knowledge of department operations to recognize and alert management of important correspondence; summarizes reports and identifies issues requiring management’s attention. Prepares, reviews, and edits executive-level reports, communications and presentations • Organizes and coordinates logistics for local and national meetings which includes creating agendas, retrieving documentation from speakers, building packets for hand-outs, functioning as coordinator during event, taking notes and preparing written summaries for management • Performing monthly verification and tracking of invoices, gathering department information and performing data entry functions. Performs contract administration • Performs updates to the department website. Quarterly reviews site for updates required by the department • Performs weekly attendance review and updates. Position learns the attendance system and provides expertise to the department on this application • Provides updates to the department SharePoint site

EDUCATION AND EXPERIENCE: • Associate degree or higher is preferred. • Minimum 2 - 3 years of administrative assistant experience

WORK HOURS AND CONDITIONS: Monday-Friday 8am-5pm; hours may vary due to assignments; attendance; some travel may be required; general office working environment
