Campus: Cranford

General Description:

Responsible for production and coordination of work flowing through the Office of the Dean at the Cranford campus, including faculty and student concerns, personnel actions, collective bargaining matters, academic information, and curriculum matters. Also provides support for President and Vice President for Academic Affairs when needed. Performs responsible, complex secretarial duties which are frequently of a confidential nature in direct support of the Dean. Deals directly with internal and external constituencies, including faculty, administrators, students and staff. Minimal supervision given for either routine duties or assigned projects. Assignments are governed by general directions with a wide latitude in the manner and method of achieving desired results. Performs other related duties as may be assigned.

Characteristics, Duties and Responsibilities:

• Act as the office manager for the Deans Office and its functions. • Coordinate and provide secretarial and other administrative support services for the Dean including, but not limited to, the following tasks: o Coordinate the production and dissemination of written information from the Dean to various college constituencies. o Coordinate calendar of the Dean, including setting up appointments, coordinating meetings, and conference calls.
o Handles routine problems or coordinates appropriate responses with key members of the President’s leadership team and their staff. o Provide general secretarial services for the Dean including typing and disseminating letters, memos, requisitions, reports, and other miscellaneous correspondence. o Coordinates work flow through the office of the Dean. • Serve as liaison among Deans office, other Divisions, and outside agencies • Manage the flow of all clerical work within the office to meet deadlines and assign and supervise the work of student workers in Deans Office. • Establish and maintain up-to-date filing and record keeping systems. • Participate in preparation of special reports and projects with the Dean and/or key members of the President’s leadership team and their staff. • Update plans, policies, and procedures documents as required. • Hire and supervise student workers. • Perform related duties as assigned.

Education Requirements:

• Associates Degree required.

Physical Demands and Work Environment:

• This position’s duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.

• Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.

• No or very limited exposure to physical risk.

• Some travel required.

Terms of Employment:

Full Time. Flexible schedule to meet department needs. Some evening, weekends, and extended hours will be required. Ability and willingness to travel on short notice to all on and off- campus sites as needed by the college. Mandatory overtime is required throughout the year, especially at peak times. Employee must establish primary residency in New Jersey within one year of appointment unless an exemption applies.
