Massachusetts Eye and Ear Infirmary Sr. Site Manager in Boston, Massachusetts
Description Under the direction of the Director of Ambulatory Operations/Regional Operations, manages the day to-day operations of eye and ear clinical services. Such operations include (but are not limited to) scheduling, personnel allocation and supervision, patient and physician satisfaction, inventory budgets, and billing oversight. Maintains strict confidentiality regarding these matters at all times.
Plans, hires and allocates clerical, technical and supervisory staff as per daily clinical schedule. As resources permit, allocates staff to meet physician practice preferences. Hires, supervises and appraises all staff. Monitors performance of staff as well as keeping them current with all internal and external policies.
Assures consistent use of resources are deployed to ensure an optimal patient experience with particular focus on vulnerable populations with special accommodation requirements.
Develops and monitors annual clinical and capital budgets and overall departmental goals. Controls and conserves operational expenses and capital purchases to ensure that the department stays within budget.
Ensures optimal patient care by monitoring daily operations of department. Re-deploys support or medical staff to meet goal throughout each clinical session. Addresses patient complaints, requests or questions.
Develops master daily physician schedules to balance patient demand, physician preferences and room/support staff availability. Collaborates with data processing to ensure that current and correct schedules are available for support staff. Discusses and resolves specific scheduling matters with individual physicians.
Contributes to the implementation of workflow and system improvements, meeting the needs of the Service/Department, utilizing the MEE systems including but not limited to EPIC, Peoplesoft, ADI, etc.
Monitors workflow to ensure that billing data and medical records are available as per department’s policy; tracks accuracy and quality of patient care and monitors physician specific census.
Addresses issues relating to the physical facility of the service as needed; equipment malfunctions, supply issues, safety matters in a timely manner.
Maintains appropriate statistics as requested by administration. Creates mechanisms to capture data and orients to appropriate staff. Prepares and submits reports.
Serves on committees as required or needed .Interfaces with departments as needed.
Meets organization goals by marketing the practice to develop positive community relations and enhance annual census.
Requirements Bachelor’s degree in Business or Healthcare Administration; Master’s degree strongly preferred. Minimum 5 years experience in a high volume healthcare setting, preferably in an ambulatory practice. Computer literacy including familiarity with computerized scheduling systems. Budget tracking/development experience strongly preferred.
