This position provides administrative support to the Vice President of Internal Audit and Vice President of Enterprise Reliability and Sustainability. The incumbent will be responsible for maintaining an aggressive calendar, coordinating travel arrangements, planning and organizing meetings, and performing daily administrative tasks. This position requires superior communication and organizational skills, attention to detail, an ability to maintain confidentiality, take initiative and provide highly responsive, proactive support. Incumbent must also be able to work independently as well as in a team environment.
KEY ROLES AND RESPONSIBILITIES
Supports the Vice President of Internal Audit and Vice President of Enterprise Reliability and Sustainability and their corresponding teams.
Coordinates domestic and international travel arrangements: Books flights online or with travel agent's assistance; reserves Corporate Jet; creates travel trip itineraries; arranges for transportation, lodging, and other needs while traveling; communicates with supervisors while traveling to ensure that they are fully informed of all issues arising; and completes expense reports in multiple currencies following travel.
Performs daily administrative tasks: Screens phone calls; reads and responds to mail and email; maintains calendar; organizes and schedules Skype Meetings and on-site meetings via Outlook; reviews and processes invoices; maintains contact with vendors; and maintains departmental file system.
Organizes and plans global functional meetings and functional employee events.
May assemble materials for Board of Directors meetings; interfaces with Board members as appropriate.
Drafts and edits documents, reports, spreadsheets and correspondence; creates presentations, including graphics and animation; maintains organizational charts.
Maintain and support ICE site to facilitate communication and data collection.
Other duties as assigned.
EDUCATION AND EXPERIENCE (Minimum Qualifications)
Minimum of 7 years’ experience as an administrative assistant, including 3 years of experience supporting a high-level executive.
1-2 years of college education or an Associate’s Degree preferred.
Strong organizational skills including the ability to prioritize, handle multiple projects simultaneously, and meet deadlines.
Professional interpersonal and communication skills.
Advanced level skills in Microsoft Office applications, including Microsoft Word, Excel and PowerPoint; must be able to type 75-80 wpm.
Ability to maintain a high degree of confidentiality.
Proactive, detail-oriented, and able to work with minimum supervision.
Strong work ethic and an expectation of working overtime when the workload deems necessary.
